Call for Submissions: Name That Alumni Award!

The University of King's College Alumni Association needs your help in naming a new alumni award.

Currently, King's does not have an award to recognize those who give significant support through volunteer effort to King's, or to the Alumni Association directly. With that in mind, the Alumni Association aims to establish a new award to recognize a person or persons whose volunteer contributions have resulted in an improved institutional framework or an innovation that has changed the way we work at King's. This new award will be presented each year at the Annual Alumni Dinner, alongside The Judge Elliott Hudson Award, that recognizes alumni for their contributions to the external community.

We are looking to you, fellow alumni, to name this distinguished service award. Alumni can send their submissions to Alison Lang at alison.lang@ukings.ns.ca. If your selection is chosen, your ingenuity will be rewarded. The deadline for submissions is Monday March 1, 2010.

Preamble

The purpose of this policy is to establish an award that will recognize significant contributions to the University of King’s College by an Alumna/us or a friend of the College who has given significant support to the College or Alumni Association above and beyond his or her position or affiliation.  

Motivation

The Honorary Fellow is one of the highest forms of recognition at the College but it is not necessarily awarded annually. The Judge Elliott Hudson Distinguished Alumna/us Award is presented annually and recognizes external community contributions.

King’s does not currently have a recognition program for those who have given significant support (often through volunteer time) to the King’s Community or to the Alumni Association directly. This award is intended to recognize such a person or persons, particularly in instances where their contribution has resulted in developing institutional framework or innovation that has changed the way we work at King's. 

Administration

1.    This award shall be administrated by the Alumni Association’s Awards  Committee.

Nominations

2.    The Committee shall issue a request to the King’s Community to submit nominations for the award.

3.    The call for nominations shall be issued no later than September 30th in the year prior to the year in which the award is to be awarded. The Committee may issue a second call for nominations no later than November 30th.

4.    The form and substance of the call for nominations shall be determined by the Committee.

5.    Nominations shall be submitted in writing to the Committee no later than January 30th of the year in which the award is to be awarded.

6.    The Committee shall keep all nominations confidential. Only selected recipients who are willing to accept shall be disclosed.

Reviewing Nominations

7.    The Committee shall review the nominations submitted and select at least one (1), but no more than three (3), this award to be awarded in that year beginning in 2012. For 2010 and 2011 awards, as many as five awards may be given because there are many individuals that deserve timely recognition.  

8.    The Committee shall meet to review nominations and select recipients no later than March 15 of the year in which the award is to be awarded.

9.    Upon selection of the recipient(s), the Committee shall contact the chosen recipient(s) to determine:

a.    The chosen recipient’s willingness to accept; and
b.    The chosen recipient’s availability to accept the award.

If the chosen recipient is not able to accept because they are unable to appear in person, the Committee shall hold the selection and it shall be presented the following year if the recipient is available and willing to accept. Unless it is the case that the recipient is not ever likely to be able to accept in person (see 13.) in which case the award may be presented by a local Alumni Branch or designate.  

10.    If a selected recipient is not willing and/or not available to accept the award in person, the Committee shall reconvene to select a recipient or recipients from the remaining nominations.  

11.    In the event that there are no nominations or that the Committee is unable to select a recipient from the nominations submitted, the Committee may unilaterally nominate an individual or individuals and propose the nomination/s to the Executive Committee for approval.

12.    Upon identification of willing and available recipients, the Committee shall issue a release to the King’s Community naming the recipient(s).

Presentation of the Award

13.    The Association’s intention is that the award shall be awarded annually at the University of King’s College Alumni Association Dinner or another Encaenia event. In the event that someone cannot attend by reason of cost or logistical difficulties, the award may be presented by a local Alumni Branch or designate.

14.    Excepting the situation outlined above (see 13.), the award shall be received in person and shall be presented by a member of the Executive Committee, the Chair of the Annual Dinner or designate. In the event that a recipient is ill or has passed away, a member of the recipient’s family may accept the award on his or her behalf.

15.    Each recipient shall be given a small gift to signify receipt of the award.

16.    Each year the name(s) of the recipient and their picture(s), along with a short message outlining their contribution(s), shall be engraved on a plaque to be placed permanently in Alumni Hall.  

17.    All costs associated with the award and its presentation shall be assumed by the Alumni Association.
